JOIN THE PARENT ASSOCIATION

  

Please be aware that all parents and legal guardians of a Pelham Gardens Middle School Student are automatically members of the Parent Association.  If you are a parent (or legal guardian) of a Pelham Gardens Middle student and you are interested in joining the Parent Association, simply attend the next scheduled Parent Association Meeting.  View the school calendar or see the "School News & Events" on the Home Page for upcoming dates.

*All meetings for the 2023-2024 school year are scheduled to be in-person at our school building (2545 Gunther Avenue Bronx, New York 10469).

Attend Parent Association Meetings

Do you want to be a part of the Parent Association just as an parent member? Then all you have to do is attend each Parent Association meeting.  You can share your thoughts and ideas, or simply attend as a spectator (more or less).  Remember, all parents and legal guardians of a Pelham Gardens Middle School student are automatically members of the Parent Association. So, you are always welcomed (and encouraged) to participate by attending the meetings.  However, if you are interested in taking a more active role in the Parent Association, scroll down to see how you can contribute.

Get Elected To The Executive Board

The Parent Association Executive Board is the governing body of the Parent Association of Pelham Gardens Middle School and automatic members of the School Leadership Team (SLT).  They are the parent members who are elected by the Parent Association (all parent members in attendance) to be the heads of the PA and the voices of the parents of Pelham Gardens Middle School.  In order for the Executive Board to be complete (and able to function), all three mandatory position must be filled during the yearly elections.  The three mandatory positions are President, Treasurer, and Secretary.   If there are still parent members who wish to be elected to the Executive Board after all three mandatory positions have been filled, then there are three non-mandatory positions that can be filled as well.  Those three non-mandatory positions are 1st Vice-President, 2nd Vice-President and 3rd Vice-President.  Scroll down to see the duties of each executive board position. 

President

Role of the PA President:

  • The president shall preside at all meetings of the association and shall be an ex- officio member of all committees except the nominating committee.
  • The president shall appoint chairpersons of association committees with the approval of the executive board.
  • The president shall delegate responsibilities to other association members and shall encourage meaningful participation in all parent and school activities.
  • The president shall attend all regular meetings of the presidents’ council and shall be a mandatory member of the school leadership team.
  • The president shall meet regularly with the executive board members in accordance with these bylaws to plan the agendas for the general membership meetings.
  • The president shall be one of the eligible signatories on checks.
  • The president shall assist with the June transfer of association records to the incoming executive board.

Treasurer

Role of the PA Treasurer:

  • The treasurer shall be responsible for all financial affairs and funds of the association.
  • The treasurer shall also be responsible for maintaining an updated record of all income and expenditures on school premises and shall be one of the signatories on checks.
  • The treasurer shall adhere to and implement all financial procedures established by the association.
  • The treasurer shall prepare and present a written report of all transactions at every executive board and general membership meeting.
  • This report must include income, refunds, reimbursements and other expenditures, and opening and closing balances for the reporting period.
  • The treasurer shall also prepare the association’s interim and annual financial reports.
  • The treasurer shall make available all books and financial records for viewing by members upon request and for audit.
  • The treasurer shall assist with the June transfer of all association records to the incoming executive board.

Secretary

Role of the PA Secretary:

  • The recording secretary shall record minutes at all association meetings.
  • The recording secretary’s responsibilities shall include the preparation of notices, agendas, sign-in sheets and materials for distribution.
  • The recording secretary shall prepare and read the minutes of each association meeting and shall distribute copies of the minutes at the next scheduled meeting for review and approval by the general membership.
  • The recording secretary shall maintain custody of the association’s records on school premises.
  • The recording secretary shall incorporate all amendments into the bylaws and shall ensure that signed copies of the bylaws with the latest amendments are on file in the principal’s office.
  • The recording secretary shall be responsible for reviewing, maintaining and responding to all correspondence addressed to the association.
  • The recording secretary shall assist with the June transfer of all association records to the incoming executive board.

1st Vice-President (non-mandatory)

Role of the PA 1st Vice-President:

  • The 1st Vice President shall assist the President and shall assume the President’s duties in his or her temporary absence or at the President’s request.
  • The 1st Vice President shall oversee the membership committee and all sub-committees.

2nd Vice-President (non-mandatory)

Role of the PA 2nd Vice-President:

  • The 2nd Vice-President shall assist the 1st Vice-President and shall assume the 1st Vice-President’s duties in his or her temporary absence or at the 1st Vice-President’s request.
  • The 2nd Vice-President shall oversee a sub-committees.

Join a PA Sub-Committees

Sub-committee members take on various tasks and projects for the Parent Association delegated to them by the Executive Board.  Some of the projects include, but are not limited to attracting more members to meetings, conducting ongoing fundraisers, coordinating PA-sponsored events, establishing and managing relationships with local businesses for sponsorships and volunteering for activities/events in the school.  Scroll down to see the roles of different PA sub-committees.

Membership Committee

Role of the Membership Committee:

  • The Membership Committee is responsible for outreach to inactive parent members and getting them to be active in the Parent Association.

Fundraising Committee

Role of the Fundraising Committee:

  • The Fundraising Committee is responsible for soliciting Parent Association contributions (dues) from parent members and coordinating fundraiser activities for the Parent Association to generate revenue.

Event Committee

Role of the Event Committee:

  • The Event Committee is responsible for coordinating Parent Association-sponsored events and managing event resources, staff etc.

Sponsorship Commitee

Role of the Sponsorship Committee:

  • The Sponsorship Committee is responsible for outreach to local businesses and organizations for sponsorships, then establishing and managing relationships with those sponsors.

Nominating Committee

Role of the Nominating Committee:

  • The Nominating Committee is responsible for selecting eligible and qualified parent member for leadership (executive board) positions in the Parent Association.

Be an Election Facilitator

An election facilitator is a one-time position that occurs during the Parent Association elections.  Both the Election Chairperson and the Note Taker are important roles that must be filled by a parent member (staff cannot fill these roles).  The elections cannot take place without the Election Chairperson and the Note Taker.  Scroll down to see the roles of the elections chairperson and the note taker.

Election Chairperson

Role of the Election Chairperson:

  • The Elections Chairperson facilitates the election and nominations processes. 
  • The Election Chairperson must be a parent who is not running for a position on the Executive Board. 
  • This is an important position, because the elections cannot take place without an election chairperson. 
  • Election Chairperson position is only held during the elections and does not require any further participation from the parent. 
  • There is an Elections Script that has been formatted to  guide the Chairperson through the election process.

Election Note Taker

Role of the Election Note Taker

  • Elections Note Taker simply performs the secretary functions for the elections and logs the minutes of the election process by recording the meeting opening,  the nominations, the elected parents and then the meeting adjournment.
